Terms

HOW WE WORK

Clear, simple and fair, so you always know where you stand.

  1. Book at least one month ahead

    Every event needs to be requested at least one month in advance, and larger events may need more time depending on the type of event and the number of guests. Creating everything for you takes real time and care, and we plan for several clients at once.

  2. We reply within 24–48 hours

    Fill in the enquiry form and we'll check our availability and get back to you within 24–48 hours.

  3. Your plan, shown upfront

    Before anything is booked, we share a full plan with you, including mood boards, layouts, suppliers and a clear breakdown, so you know exactly how your event will look and feel. We stay in touch at every step, because good communication is everything to us.

  4. Confirmation and contract

    Your event is confirmed once payment for suppliers and your booking deposit have been received. We then send you a written agreement confirming everything that will be set up for you on the day, as planned.

  5. Supplier payments

    Suppliers must be paid in full before we book them, so nothing can be booked or started until this payment is made. This secures your date, venue and suppliers.

  6. Our planning fee

    A non-refundable booking deposit of 30% of the Vybe Events planning fee is paid when your agreement is signed. The remaining balance is paid on the day of your event, once you've seen everything set up as agreed.

  7. Rented items

    Anything hired for your event, such as furniture, decor, equipment or tableware, is the responsibility of the client and guests while it's in use. Any loss or damage will be charged as set out in your agreement.

  8. Changes

    If you'd like to change something after booking, just tell us and we'll do our best to arrange it. Some changes may depend on what suppliers can offer or may change the price.

  9. Guest numbers

    Final guest numbers need to be confirmed at least two weeks before your event, so suppliers can prepare everything just right.

  10. Weather

    For outdoor events, we'll agree a backup plan with you in advance. Any extra cost for a weather backup will always be agreed with you first.

  11. Venue rules

    Every venue has its own rules, such as noise limits and finishing times, and these must be followed by all guests on the day.

  12. Photos

    We may share photos of your setup on our social media. Just let us know if you'd rather we didn't.

  13. Cancellations

    All cancellations must be made in writing. Supplier payments and the 30% booking deposit are non-refundable, as suppliers and our team have reserved the date for your event. On top of the deposit already paid:

    • If you cancel more than 14 days before your event, a further 20% of our planning fee is payable (50% in total).
    • Within 14 days, the remaining 70% is payable (100% in total).

    Any cancellation fee is due within 7 days of cancelling.
